Position Overview

Adams & Martin Group has partnered with a prestigious law firm to find an experienced IP Legal Assistant to join their dynamic team in Georgia. This role requires a highly organized individual with a strong background in intellectual property law and the ability to manage multiple tasks independently in a computer-based environment. The IP Legal Assistant will provide crucial administrative support to Intellectual Property attorneys, ensuring efficient matter management and maintaining confidentiality of client matters.

Responsibilities

Summary

This position provides administrative support for Intellectual Property attorneys. The individual must be able to work independently in an environment that is heavily computer-based, follow established client and team guidelines for matter management, maintain positive contact with clients, and observe confidentiality of client matters.

Essential Duties and Responsibilities

  • Prepare and draft documents for attorney review; edit, finalize, and send approved documents for filing with the USPTO.
  • Organize and maintain matter files and client Trademark portfolios; ensure all documents are filed in the iManage/Filesite document management system.
  • Draft reporting letters for US and foreign clients; edit, finalize, and send approved letters.
  • Prepare correspondence with foreign associates and clients regarding trademark registrations and other IP matters.
  • Draft Assignment documents for review and finalize for recording.
  • Proofread documents for spelling, content, punctuation, and grammar.
  • Maintain calendar/docket of upcoming due dates and coordinate with docketing department.
  • Prepare and submit attorney expense reports and travel reimbursements.
  • Process vendor invoices and submit to Accounting and/or client for payment.
  • Enter attorney time into Intapp time billing system and edit proformas.
  • Enter new client and matter information into new business intake system.
  • Perform other duties as requested or assigned.

Required Skills

  • Demonstrate concise, effective written and verbal communication skills.
  • Ability to manage workloads from multiple attorneys and prioritize work to meet deadlines.
  • In-depth knowledge of USPTO Patent and Trademark rules, policies, and procedures.
  • Familiarity with foreign filings of Patent and Trademark registrations is a plus.
  • Excellent computer skills, including proficiency in Microsoft Office suite.
  • Experience with Intapp, CPi or other IP docketing systems preferred.
  • Proficiency with USPTO online filing systems.
  • Experience in various Trademark registrations and IP transactions.
  • Excellent interpersonal skills and ability to work independently and in a team.

Qualifications

  • Minimum of High school diploma required.
  • Some college, Bachelor's degree and/or paralegal certificate, a plus.
  • Five years of legal assistant/secretarial experience, preferably within an IP practice at a law firm.
  • Accurate typing speed of at least 70 wpm.
  • Ability to work overtime, as needed.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.

Work Hours

Monday through Friday, first shift.

Benefits

The position offers a competitive salary range of $75,000 to $85,000.
